The Events Manager is responsible for planning and organising a range of promotional, business, and social events, ensuring the target audience is engaged and the message of the event is marketed properly.

Successful, credible and impactful events are key to the success of our organisation.

We are looking for an experienced events manager who is:

Who we are

Techworks is the UK Deep Tech industry association consisting of member companies across the UK technology sector. We operate multiple collaborative member networks driving R&D collaboration, innovation and thought leadership across industry, academia, and government to deliver profitable growth for UK industry.
Our aim is to ensure the UK is among the best locations globally to start, build and scale a Deep Tech business.

Role Responsibilities

Event management and administration

    • Prepare and manage a project plan for each event, ensuring all stakeholders are briefed on expectations, deliverables and timings
    • Prepare and manage a budget for each event, managing spending accordingly to ensure event is delivered within the approved budget
    • Manage and update all event activity across internal databases and member engagement sites.
    • Administrative duties such as hotel bookings for event staff and delegate management (e.g. forecasting attendee numbers)
    • Procure and ensure all supplies arrive in time for the event (e.g. name badges, banners, tablecloths, stand materials, promotional items, etc.)
    • Develop and manage (on the day) a timely agenda which runs smoothly, with enough time for guests to arrive and register and with appropriate breaks between sessions and coffee, lunch, networking, etc.

Event calendars

      • Plan and maintain overall event calendar for the year
      • Maintain internal and external event calendars and ensure websites are kept up to date.

Sourcing venues

    • Work with venue management on all requirements from dietary to AV

Support event promotion and sponsorship

    • Liaise with the marketing team to promote events
    • Work with marketing to prepare and deliver the mediakit to sponsors
    • Prepare a clear and concise sponsorship guide
    • Present sponsorship opportunities to key stakeholders to secure event sponsorship

Speaker management

    • Collate pictures, biographies and abstracts for speakers
    • Ensure speakers have all necessary details ahead of the event and understand the deadlines for delivery of presentation materials
    • Collate presentation materials into one file source, making things as easy as possible for the host, speakers and AV team
    • Once event has finished, obtain necessary permissions from the speakers to upload their presentations to the relevant websites and work with marketing to publish them

Registration desk

    • Arrive in sufficient time (potentially the night before) to set up and to work with the AV Team, event host and speakers to make sure everything works first time and runs on time
    • Ensure name badges are clear and well organised, with guest’s name and company in alphabetical order
    • Lay out any collateral and ensure it is visible and accessible (Proceedings, booklets, banners etc.)

Post-event management

    • Prepare and issue questionnaires to gather feedback and collate responses and other data (e.g. attendance and sign-ups) to inform decisions and future plans

Travel and flexibility

    • Travel will be a requirement and will involve overnight stays as well as working additional hours to ensure event completion.

Location

The role can be based at our central office in Livingston, our satellite office in Cambridge, or remotely within the UK. Techworks also operates a hybrid ‘from-home’ working model.
